Booking Fees

Booking Fees are required for certain situations. We are a very busy practice and when clients do not show for their appointments or cancel with less than 24 hours of notice, this creates large gaps in our day that can not be easily filled. This affects other client's abilities to be seen promptly as they are forced to go to Urgent Care and/or wait longer to be seen when they may have been able to fill an appointment spot that was expected to show. To accommodate as many clients and their pets as we can, we have established policies to help reduce no show and short notice cancellations. Below outlines those situations that will require a non-refundable booking fee to confirm an appontment time.
Ultrasound/Echocardiogram Booking Fee
In-House Ultrasound services by board certified Internists and Cardiologists appointments are limited and in high demand. We require a Non-Refundable Booking Fee to secure the initial appointment. The Booking Fee will be credited toward the services provided at the time of the ultrasound visit. If the appointment is canceled with less than 48 hours' notice or fails to show up for the appointment, the Booking Fee is forfeited. If you need to cancel or reschedule with more than 48 hours' notice, the booking fee may be applied to one appointment change only. If the second date is rescheduled, canceled, or does not show, the booking fee is forfeited.
Orthopedic/Specialty Surgery Booking Fee
In-House Orthopedic/Specialty Surgery by our traveling surgeons appointments are limited and in high demand. We require a Non-Refundable Booking Fee to secure the initial appointment. The Booking Fee will be credited toward the services provided at the time of the surgery being performed. If the appointment is canceled with less than 5 days notice or fails to show up for the appointment, the Booking Fee is forfeited. If you need to cancel or reschedule with more than 5 days notice, the booking fee may be applied to one appointment change only. If the second date is rescheduled, canceled, or does not show, the booking fee is forfeited.

General Surgery/Dentistry Booking Fee
In-House General Surgery/Dentistry appointments are limited and in high demand. A Booking Fee will be required for anyone who does not show up or cancels less than 3 days prior to the appointment. The Booking Fee will be credited toward the services provided at the time of the surgery being performed. If the appointment is canceled with less than 3 days notice or if you fail to show up for the appointment, the Booking Fee is forfeited. If you need to cancel or reschedule with more than 3 days notice, the booking fee may be applied to one appointment change only. If the second date is rescheduled, canceled, or
does not show, the booking fee is forfeited.

Repeat No-Show or Short Notice Appointment Cancellations
Repeated no shows or short notice cancellations have wide ranging consequences impacting our ability to serve our clients and their pet’s needs. To encourage clients to honor the scheduled appointments, the following policies have been put in place for repeated No-Show or short notice appointment cancellations less than 24 hours. Exam Booking Fees will be required to confirm an appointment time after 2 No-show or Cancellation events in a 12 month period.

The Exam Booking Fee is equal to our current exam fee and is non-refundable.

The fee will be credited to the Examination/ Service fees at the time of the visit.

No-Shows, Cancellations/Reschedules less than 24 hours prior to the appointment time, the booking fee is forfeited.

After three kept exam appointments the client can then be reinstated with normal appointment privileges.

Booking fees will be immediately reinstated for any additional No-Shows or Cancellations/Reschedules less than 24 hours

New Client Booking Fee
To accommodate as many clients and their pets as possible, we have established policies to help reduce the number of no shows and short notice cancellations. We require a Non-Refundable Exam Booking Fee and a Completed New Client Form to be submitted for all new clients who have yet to establish a Veterinary Client Patient Relationship (VCPR) with us. This form is available on our Website under the client forms and patient portal tab. The Booking Fee will be credited toward the services provided at the time of that first appointment. If the appointment is canceled shorter than 5 days or does not show, the Booking Fee is forfeited. After that first visit is kept and the VCPR established, normal appointment privileges will apply.
